Get a clear letter of agreement with a video production company

Before doing any business with a video production company, you must get a clear letter of agreement outlining your project. This agreement will summarize your responsibilities as the client and the responsibilities of the video production house.

The Letter of Agreement is important because it forces all involved to clarify the needs, expectations, and scope of the video project.

In your first meeting with the video production company you should discuss:
1) Your reasons for wanting the video produced -- often my clients have multiple purposes in mind.
2) Your audience -- who will be seeing this?
3) The goals of the video -- how you want the audience to be affected.

After clarifying the above three areas, you are ready to discuss possible directions the video could take to achieve the stated goals and to have your desired affect on the intended audience.

It is very important to detail exactly what the videographer expects from the client and what the client needs from the videographer.

Your Letter of Agreement should include details of equipment to be provided, and a list of deadlines for writing the script, planning the shoots, number of days of production, and editing.

It should also deliniate the possibility for additional costs if initial production expands to exceed current budget.

Non-profit Myositis wanted Fabio to testify on floor of House in D.C.

Scenario: Myositis Association asks Congress to establish National Myositis Day. They ask a celebrity from Los Angeles, Fabio, to speak on the floor of the House in Washington, D.C. At the last minute he is unable to come, so they hire us to create a video of him speaking that will play on the floor of the House instead.

Myositis called us, and then we discussed their needs over the phone and through a few emails. Once I was clear on their goals and how a video could help them, I sent them a proposal outlining the project. Because time was very short, we needed to move fast on this project, so I knew there wouldn't be much time spent going back and forth with changes.

I shot the video Friday afternoon 4pm, edited Monday morning, sent them a draft of the video Monday midday via internet link, and after getting their feedback, FedExed the final DVD to them Monday night.

Here's the resulting video, which played on the floor of the House September 21, 2006.

Results! Yesterday Congress passed the bill to establish National Myositis Day.

First post - PURPOSE AND GOALS

Dear friends,
I searched the internet ALL OVER and found no other blog that does what I hope to do.

Every week this office is contacted by corporations to solve a problem using video. Whether it's producing an online educational course using Flash or creating a 30 second television commercial for local cable, the variety of projects always keeps our life interesting.

The goal of this blog is to describe specific real life problems and challenges faced by corporations, non-profit organizations, and small businesses, and to show how video was used to create solutions and wonderful opportunity. Free advice and suggestions to improve your bottom line.
